Admin Logistic Supervisor

Job description

1. Canteen Management

  • Oversee the daily operations of the staff canteen, ensuring timely provision of quality, hygienic, and nutritious meals.
  • Monitor food quality, portion control, and menu variety, and gather employee feedback for continuous improvement.
  • Ensure the canteen complies with all food safety and hygiene regulations.
  • Manage canteen suppliers and vendors, including contract negotiation, performance evaluation, and cost control.
  • Supervise canteen staff, ensuring cleanliness, proper food handling, and adherence to safety standards.
  • Monitor canteen budgets and control food costs while maintaining service quality.

2. Factory Hygiene & Landscaping

  • Supervise the cleaning of factory premises, offices, restrooms, and common areas to maintain high standards of hygiene.
  • Oversee waste management, including proper segregation, collection, and disposal of general and hazardous waste.
  • Manage pest control programs and ensure regular inspections and treatments are carried out.
  • Supervise landscaping and gardening activities to maintain neat, healthy, and well-presented outdoor areas.
  • Ensure that all hygiene and landscaping activities comply with company policies and Uganda’s environmental and health regulations.

3. Dormitory Management

  • Manage company-provided staff dormitories and housing, ensuring clean, safe, and well-maintained living conditions.
  • Allocate accommodation fairly based on company policy, staff grade, and availability.
  • Conduct regular inspections of dormitories to ensure compliance with hygiene, safety, and maintenance standards.
  • Address employee concerns related to accommodation and mediate any disputes.
  • Maintain accurate records of occupancy, assets, and utility consumption.
  • Coordinate with security and EHS teams to ensure a safe living environment.

4. Office & Dormitory Maintenance & Repair

  • Oversee the day-to-day maintenance and repair of office buildings, dormitories, and surrounding facilities.
  • Identify maintenance needs through regular inspections and coordinate timely repairs for plumbing, electrical, carpentry, painting, and HVAC systems.
  • Supervise maintenance staff and external contractors, ensuring work is completed to standard and within budget.
  • Maintain an inventory of maintenance tools, spare parts, and supplies, and request replenishment as needed.
  • Ensure that all maintenance activities comply with safety standards and do not disrupt operations.
  • Maintain accurate records of maintenance requests, work orders, and completion reports.

5. Team Supervision & Development

  • Lead, supervise, and coordinate the activities of support staff, including cleaners, gardeners, canteen workers, and maintenance technicians.
  • Assign daily tasks, monitor performance, and ensure adequate coverage across all areas.
  • Conduct regular performance reviews, provide feedback, and identify training needs.
  • Foster a positive work ethic, discipline, and teamwork among support staff.
  • Ensure adherence to company policies, safety rules, and workplace conduct standards.

6. Vendor & Budget Management

  • Manage relationships with external service providers for canteen, cleaning, landscaping, pest control, and maintenance services.
  • Negotiate contracts, monitor service quality, and ensure value for money.
  • Prepare and manage the logistics and facilities budget, tracking expenditures and identifying cost-saving opportunities.
  • Approve purchases within delegated authority and ensure proper documentation.

7. Compliance & Safety

  • Ensure all logistical and facility activities comply with Uganda’s Occupational Safety and Health Act, environmental regulations, and company policies.
  • Conduct regular safety inspections of facilities and equipment, reporting hazards and implementing corrective actions.
  • Ensure fire safety equipment, emergency exits, and first aid supplies are maintained and accessible in all facilities.
  • Support emergency response drills and incident reporting as required.

8. Reporting & Documentation

  • Prepare regular reports on canteen performance, hygiene, landscaping, dormitory occupancy, and maintenance activities.
  • Maintain accurate records of all service contracts, inspections, repairs, and expenditures.
  • Support internal and external audits by providing required documentation.
  • Provide timely updates to the Admin Manager on all logistical and facility matters.

Skills

Diploma or Bachelor’s degree in Business AdministrationLogisticsFacilities ManagementHospitality Managementor a related field. (A Diploma with extensive relevant experience may be considered.) Minimum 4–6 years of experience in logisticsfacilities managementor administrative supportwith at least 2 years in a supervisory role. Proven experience in managing canteen servicescleaninglandscapingdormitoriesand building maintenance.
