Job description

Job Summary: To accurately capture, update, maintain, and retrieve operational data and records relating to container and cargo movements, ensuring timely and accurate information for effective depot operations and reporting.

Key Duties and Responsibilities: 

  • Capture and update data relating to container receipts, dispatches, movements, and cargo operations in the relevant systems.
  • Accurately enter information from delivery notes, gate documents, cargo documents, and other operational records.
  • Verify data against source documents to ensure accuracy and completeness.
  • Maintain accurate and up-to-date records of containers, cargo, and related transactions.
  • Prepare and update daily operational reports, registers, and data summaries as required.
  • Monitor and update container status, including receipts, releases, transfers, and movements within the ICD.
  • Identify and report data discrepancies, missing information, or documentation errors to the relevant supervisor.
  • Retrieve and provide operational data and records to authorised departments when required.
  • Coordinate with Gate, Yard, Warehouse, Operations, Documentation, and other relevant teams to ensure timely flow of information.
  • Ensure all data and records are properly filed and maintained for easy retrieval and audit purposes.
  • Maintain confidentiality and integrity of operational and customer information.
  • Support reconciliation of operational records and system data.
  • Assist in generating management reports and other statistical information as required.
  • Ensure compliance with company procedures, ICD operational requirements, and applicable HSE standards.
  • Perform any other duties as assigned by the Warehouse Supervisor
  • Authority & Independence: The Data Entry Clerk has full authority delegated by the Warehouse Supervisor as per the requirements, duties and responsibility of the job

Qualifications, Skills and Experience: 

  • Diploma in Information Technology, Business Administration, Statistics, Records Management, or related field.
  • Minimum of 1–2 years’ experience in data entry or administrative work.
  • Proficiency in Microsoft Office applications, especially Excel and Word.
  • Knowledge of database systems is an added advantage.
  • Knowledge of warehouse and cargo release procedures.
  • Fast and accurate typing skills.
  • Strong attention to detail.
  • Good organizational and time management skills.
  • Ability to maintain confidentiality.
  • Good communication and interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • Basic analytical and reporting skills.
  •

  • Ability to work independently, should have effective communication skills, excellent customer care skills, sound decision-making skills and ability to think clearly during crisis or high-stress periods.
  • Good Integrity, flexible, good interpersonal, team work, self-drive/ motivation and problem-solving skills.
  • Should have a positive attitude, results focused, can work for long hours under pressure with minimum supervision and remain alert and aware of the surroundings.
